RF Accounts Receivable Users Metrics Report

Description

Purpose

This report provides a total count by user of Accounts Receivable activity for a given period of time. This report can be used to track and provide metrics to see accounts receivable activity with a grand total for a user location.

Based upon the parameters entered finds all transactions by user and provides a count for the following:

Invoices Released with Print Formats (considered non-manual invoices) - Released Invoices by user with Print formats that are not a format 4 or 9 and the award is not Letter of Credit or set to Auto.

Invoices Released w/no print format or a 4 or 9 (considered manual invoices) - Released Invoices by user with Print formats a no print, or a format 4 or 9 and the award is not Letter of Credit or set to Auto.

Invoice Adjustments - total number of invoice adjustments performed by user.

Advances Invoices - advances invoices created by user.

Financial Reports - total number of financial reports submitted by user.

Awards Closed - total number of awards closed by user.

F&A Manual - total number of F&A manual batches created by user.

Collection Activity - total number of collection records created by user.

Frequency

The report should be run as needed to verify or review Accounts Receivable activity.

Responsibilities with Access

Setting Report Parameters

The following table describes the required and optional parameters to use to run the report:

Optional Parameters

Location code

Select from the list of values the user location the report should run and gather the data for.

Activity From Date

Enter the from date the report should summarize the date from.

Activity To Date

Enter the to date the report should summarize the data to.

Setting Report Completion Options to PDF or Excel

A xml report may be submitted with the format of the output set to PDF or Excel. This will enable the automatic opening of the file in the application selected.

From the applicable responsibility in the Navigator window, select Processes and Reports > Submit Processes and Requests to go to the Submit a New Request form.

Select Single Request.

Click OK to go to the Submit Request form.

Complete the following field: Name (Title of the report to be run. Select from the List of Values.)

The Parameters form will be displayed if you select a request that requires parameter values. As required, enter the parameters.

Click OK to return to the Submit Request form.

Click Completion Options to return the Upon Completion Options form. The file format defaults to PDF, only change the Format to Excel (Select from the List of Values) if needed.

Click OK to go to the Submit Request form.

Click Submit to go to the Requests form. Submitted requests are queued and run in the order in which they are received. Your current request may appear in a list of all of your requests in the Requests form.

Click Refresh Data until the Phase field displays Completed.

Click View Output. The report will then open and display in the file format application selected.

Understanding the Output

The table that follows describe the report output:

Column Heading

Description of Column

Org

The award organization/location the activity was performed on.

UserName

The user name of the person who performed the activity

Invoices Released with Print Formats (considered non-manual invoices)

A count of released Invoices by user with Print formats that are not a format 4 or 9 and the award is not Letter of Credit or set to Auto.

Invoices Released w/no print format or a 4 or 9 (considered manual invoices)

A count of released Invoices by user with Print formats that have a no print, or format 4 or 9 in the billing format of the award, and the award is not Letter of Credit or set to Auto.

Invoice Adjustments

A count of invoice line adjustments by user from the accounts receivable module.

Advances Invoices

A count by user where an advance invoices was created in the accounts receivable module.

Financial Reports

A count by user where financial reports where submitted within the date range parameter. Uses submit date and submitted by from the reports region on the award.

Awards Closed

A count by user where the award was changed to a status of closed. Uses the closure date field.

F&A Manual

A count by user of expenditure batches created for manual F&A adjustments.

Collection Activity

A count by user of collection records entered.
