RF Responsibilities Report

Description

Purpose

The Research Foundation developed this customized security report to ensure access is controlled, accurate and to help avoid misuse. The RF Responsibilites report is provided as a tool for the Campus Security Contact or Administrator to only view users who are assigned a specific responsibility.

Frequency

The above report is optional.

Responsibilities with Access

People with the following responsibilties are able to run this report:

Setting Report Parameters

The following table describes the required and optional parameters to use to run the report:

    Required Parameters

    From Date

    The date from which the data will be reported on.

    To Date

    The current date from which the data will be reported to.

    From Location

    The location in which the data will be reported on.

    To Location

    The location in which the data will be reported on.

    Application

    Enter the application of the responsibility you are reviewing. Please note that by entering a specific application and leaving the responsibility field blank, the report will display all of the responsibilities assigned within that application. The following applications are most common: Human Resources, Grants Accounting, Cash Management, General Ledger, Labor Distribution, Payables, Receivables, Purchasing.

Instructions to Run Report

From the applicable responsibility in the Navigator window, select Reports > Run.

Select Single Request.

Click OK to go to the Submit Request form.

Complete the following field: Name (Title of the report to be run. Select from the list of values).

The parameters form will be displayed if you select a request that requires parameter values. As required, enter the parameters.

Click Completion Options to display the Upon Completions Form. Change the Format to Excel (select from the list of values).

Click OK to return to the Submit Request form.

Click Submit to go to the Requests form.

Once the report has finished running, click View Output. You will be able to view your report in Excel format.

Understanding the Output

The table that follows describe the report output:

Column Heading

Description of Column

Location

User Campus Location

Application Name

Module application

Responsibility Name

Displays the responsibility the user has been assigned.

User Name

Oracle application user name (650DOEJA or 12345 {employee number}).

Full Name

The full name of the user (Last Name, First Name).

Resp Start Date

The date the user was assigned that responsibility.

Resp End Date

The date the user's access to that responsibility was end dated.

User End Date

The date the user's account was end dated.
