View Paid Time Off Accrual and Usage Balances

Use these instructions to view a summary of paid time off (PTO) accrual balances and accrual

usage.

To view PTO accrual and usage balances

When completing the Oracle forms referenced in this procedure, note that a white field indicates optional entry or one that is conditional based on the particular process.

  1. Perform this procedure when you need to know how much PTO is available for an employee. To view FMLA or military leave usage, refer to the process help "View Usage Details for PTO, FMLA, or Military Leaves of Absence."
  2. Navigate to Fast Path> Leave and Accruals> Net Accruals to go to the Find Person form.
  3. Complete one of the following fields:

    Field Name

    Description

    Full Name

    O

    Last name of the employee. The last name search narrows choices for selection.

    Employee Number

    O

    Employee ID number.

    Social Security

    O

    A nine-digit, unique personal identification number (SSN) issued by the U.S. Social Security Administration. This field may be required if the contact is a dependent or beneficiary to the person's benefit.

  4. Click Find to go to the Accruals form.
  5. Review the following fields:

    Field Name

    PTO element.

    For example: PTO Vacation EX

    Accrual Category

    O

    Type of paid time off.

    For example: Vacation

    Net Entitlement

    O

    Accrued balance as of the effective dates that appear.

    This number is the total accrual, including adjustments and carry-over and minus any usage, for this PTO element for the time period indicated in the Dates region.

  6. Review the following fields in the Dates region:

    Accrual data displayed in this form is current as of the period.

    Last Accrual

    Last pay period for which accruals are reflected.

  7. Review the following fields in the Entitlement Details region.

    Identifies the element entered.

    Input Value Name

    Function of the Element Name.

    Total Entitlement

    O

    Number of Units to which the employee is entitled for the time period indicated in the Dates region.

    Result of element calculation on accruals total.

  8. To view another PTO element for the same employee, click on the Name field. Use the page up or page down keys or the up and down arrows to go to a different PTO element. Go back to step 5.
