Terminate a Person - Process Help (R12)

Use these instructions to terminate a person's record in Oracle.

Prerequisites

To terminate a person

Note: If a fellowship or an AmeriCorps award has not been completely paid out at the time of termination, the person’s pay element must be end-dated or payment will continue until the award ends. To end date a pay element, use the same procedure as you would to delete a benefit element on a set effective date.

  1. Navigate to People > Enter and Maintain to go to the Decision form. Perform one of the following:
    1. If the current effective date is a date other than one day after the person's relationship ended with the RF, click Yes to go to the alter Effective Date form.
      1. Complete the following fields.

    Date record will be terminated.

     

    Enter a date that is one day after the last day of the person's relationship with the RF.

    1. Click OK to go to the Find Person form.
    1. If the start date of the action is the current date, click No to go to the Find Person form.
    2. Complete one of the following Find Person form fields:

    Field Name

    Person's last name.

    Social Security

    Person's social security number.

    Type

    Select from the List of Values:

    Contingent Worker

    Applicant

    Employee

     

    Employee Number

    O

    Person's ID Number.

  2. Click Find to go to the People form.
  3. Click Special Information to go to the Special Information form.
  4. Click in the area to the left of the Service Date Information field in the Name region.
  5. Click in the Detail field of the first row of information to go to the most recent Service Date Information form.
  6. As required, complete the following fields:

    Last day of the person's relationship with RF.

    Termination Reason

    Reason for terminating the person. Choose from The List of Values.

    This field is required for employees.

  7. Click OK to go back to the Special Information form.
  8. Click File > Save.
  9. Click File > Close Form to go back to the People form.
  10. Click Assignment to go to the Assignment form.
  11. Use the List of Values to change the following field:

    Payroll processing and record keeping status as of date of termination.

     

    Select Terminated – Processes Pending from the List of Values to go to the Choose an option form. (See Note below.)

     

    Note: When the status is changed to Terminate –Processes Pending, fields in the assignment form [ ] are set to 0.00 so benefit eligibility will be set up correctly. This happens via an overnight process. For a retroactive termination date, the fields in the form [ ] are set to 0.00 on the date of input, not the actual termination date. To ensure the accuracy of benefit eligibility, manually change the [ ] fields to 0.00 on the termination date.

  12. Click Update in the Choose an option form to go back to the Assignment form.
  13. Select File > Save.
