Rehire or Reactivate a Terminated Person - Process Help (R12)

Use these instructions to to rehire a former employee or to reactivate or renew a non-employee’s relationship with the Research Foundation (RF).

Prerequisites

To rehire or reactivate a terminated person

When completing the Oracle forms referenced in this procedure, note that a white field indicates optional entry or one that is conditional based on the particular process.

  1. Navigate to People > Enter and Maintain to go to the Decision form. Perform one of the following:
    1. If the current effective date is a date other than the start date of the person, click Yes to go to the alter Effective Date form
      1. Complete the following fields.

    Rehire date of date of reactivation.

    Enter the new start date of the person.

    1. Click OK to go to the Find Person form. Go to step 2.
    1. If the current effective date is the person's effective date of ExInternal status, click No to go to the Find Person form.
  2. Complete at least one of the following Find Person form fields.

    Last name of the employee. The last name search narrows choices for selection.

    Employee Number

    Employee ID number.

  3. Click Find to go back to the People form.
  4. Hit the F11 key to enter data. Use the List of Values to change the following field:

    Enter Internal to go to the Choose an option form.

  5. When changing data fields, the system may prompt you to Update the record and keep a history of changes or to Correct the previous entry without keeping a history. Click Correction to go back to the People form.
  6. Click Update to go to the People form.
  7. Select File > Save. The Hire Date field will not change. The hire date will reflect the earliest effective date of the person's record.
  8. Click Special Info to go to the Special Information form.
  9. Click in the area to the left of the Service Date Information field in the Name region.
  10. Click once in the Detail field of the Details region to display all line entries.
  11. Click in the next available detail line. The date tracked data will appear in the Start Date field.
  12. Click once in the Detail field of the new line to go to a new Service Date form
  13. As required, complete the following fields:

    Field Name

    Original Hire Date

    Date of the first time the employee was hired by the RF.

    Original Fellow Date

    O

    Date of the first time the person was a fellow for the RF.

    Continuous Service

    R

    Date the employee is rehired or the fellow is reappointed.

    This date should be the same as the date tracked date.

  14. Click OK to go back to the Special Information form. The Detail field of the new line will display what was input to the Service Date Information form.
  15. Select File > Save.
  16. Select File > Close Form to go back to the People form.
  17. Click Assignment to go to the Assignment form.
  18. Change the following field:

    R

    Payroll processing and record keeping status as of person’s start date or rehire date.

    Select Active Assignment from the List of Values to go to the Choose an option form.

  19. Click Update on the Choose an option form to go back to the Assignment form.
  20. If the new begin date is within the period when the status is Terminated – Processes Pending, future changes on the record may need to be replaced by clicking Replace on the Choose an option form.
  21. Select File > Save to save the status change in the Assignment form.
  22. As required, follow the appropriate work instructions to update system fields with new information.
  23. Verify that the assignment information is accurate. It is also advised that you verify the salary and status of the elements. Click Salary to review and verify information in the Salary Administration form. Click Entries to review and verify entry values in the Element Entries form. Also, select File> Close Form to go back to the People form to review and verify people information.
