Change a Nonrecurring Earnings or Deductions Element - Process Help (R12)

Use these instructions to change a nonrecurring element in order to adjust an employee’s earnings or deductions for a pay period.

Prerequisites

To change a nonrecurring earnings or deductions element

When completing the Oracle forms referenced in this procedure, note that a white field indicates optional entry or one that is conditional based on the particular process.

  1. Navigate to People > Enter and Maintain to go to the Decision form.
  2. If the current date is NOT the date of the nonrecurring element's update or end date, click Yes to go to the Alter Effective Date form and from the calendar List of Values, select the Effective Date of the change. Click OK to go to the Find Person form. Go to step 4.

    Note: Nonrecurring elements can be entered to process in a current or future payroll only (i.e., a payroll period that has not yet processed), regardless of the adjustment date.

  3. If the current date is the date of the nonrecurring element's update or end date click No to go to the Find Person form.
  4. Complete one of the following Find Person form fields:

    Select from the List of Values:

    Contingent Worker

    Applicant

    Employee

     

    Employee Number

    Person's ID Number.

  5. Click the Find button to go to the People form.
  6. Click the Assignment button to go to the Assignment form.
  7. Click the Entries button to go to the Element Entries form.
  8. Click on the Element Name that needs to be updated or end dated. Ensure that the Effective Date is in a payroll period that has not already been processed, such as the current pay period at the time of entry.
  9. To change the Effective Date, select Tools > Alter Effective Date... to go to the Alter Effective Date form.
  10. Click on a nonrecurring Element Name field. Click on the List of Values (...).
  11. If the nonrecurring element is an adjustment to an existing element, select an element that is associated with the existing element. For example, to adjust H RF PPO, select H RF PPO Special Inputs in the List of Values (...).
  12. If the nonrecurring element is a new payment or adjustment, select an appropriate element. For example: Tuition Reim Taxable.
  13. Click OK to go back to the Elements Entries form.

    Note: The Effective Dates of the nonrecurring element encompass one pay period.

  14. Click the Entry Values button to go to the Entry Values form.
  15. Complete the appropriate fields depending on which nonrecurring element was selected.

    Note: Never enter a value in the Pay Value field or the Adjust Arrears field.

  16. Select File > Save.
  17. Select File > Close Form to return to the Element Entries form. Select Update if the entry values are being updated based on new information. Click Correction if the entry values were entered in error.
  18. If you need to enter another element, go to step 8.
